Looking for a MindBody Alternative?

Mindbody combines appointment and class scheduling, memberships, payments, staff management, and consumer discovery tools. For a studio running classes or memberships, those capabilities can be central to daily operations.

If you primarily manage individual appointments and already attract your own clients, you may prefer a simpler way to manage your schedule, client records, and business reporting. The important question is which Mindbody services you actually use, and what your agreement requires if you decide to switch.

What Mindbody costs

Mindbody offers subscription plans for different business needs. Your total cost may depend on your location count, selected services, payment processing, and the terms of your agreement. Its consumer marketplace may also charge a commission on qualifying new-client purchases; not every booking generates a marketplace commission.

For current prices and marketplace terms, consult Mindbody's website and your specific order form rather than relying on a quoted starting price.

Check your contract before switching. Mindbody agreements may include fixed subscription terms, renewal provisions, notice requirements, and restrictions on mid-term cancellation. The terms applicable to your business are the ones in your signed agreement and order form. not necessarily the terms another business received.

Why businesses consider alternatives

  • Contract flexibility. If your agreement has a fixed term or advance cancellation notice requirement, switching software may take planning. Review your renewal date, cancellation procedure, and any outstanding payment obligations before committing to a replacement.
  • Data portability. Ask which client, appointment, membership, and financial records you can export yourself, which require support, and whether assisted exports carry a fee. Confirm any deadlines for accessing your records after cancellation.
  • Marketplace costs and customer relationships. Mindbody's consumer app can introduce your business to new customers, but qualifying marketplace purchases may carry acquisition fees. If most of your clients already come through referrals or your own marketing, consider how much value the marketplace adds to your business.
  • Software designed for a different operating model. Class scheduling, memberships, and studio operations are useful when you need them. If your work is primarily one-to-one appointments, you may not need every part of a studio-management platform.

What Book Visit Now does differently

A published monthly price and a free plan. Book Visit Now is free for up to ten active clients, with every feature included and no time limit. Pro removes the active-client limit for $24.99 a month. Its subscription is managed through the App Store; you can cancel renewal through your Apple subscription settings, subject to Apple's applicable subscription terms.

Appointment notifications through Messages and email. Book Visit Now includes an Appointment Notification Center where you can review upcoming appointments and manually send clients notifications through Apple Messages or Mail. There is no additional Book Visit Now messaging subscription or message-credit package. These notifications are not automatic, and your carrier's standard messaging charges may apply.

Client records and scanned intake forms included. Keep appointment history, treatment notes, and client photos together. You can also scan completed paper intake forms directly into a customer's profile without buying a separate document-management add-on. Book Visit Now does not provide online forms that clients fill out and submit themselves.

Apple Contacts integration. Book Visit Now can use contacts already on your Apple devices. Your Apple Contacts remain accessible independently of the app. Client records and appointment history maintained in Book Visit Now remain accessible on its free plan, even if you stop paying for Pro. Appointment history is not automatically stored in Apple Calendar, and importing contacts does not transfer another platform's appointment history.

No marketplace commissions. Book Visit Now does not operate a consumer booking marketplace or charge a commission when you acquire or book a client. You are responsible for attracting your own customers.

Included business tools. Appointment scheduling, multiple providers, service and product management, client records, invoicing, and business reporting are included without separate feature subscriptions.

Flexible scheduling for small classes and groups

Book Visit Now was built to support multiple providers and multiple locations, offering flexibility beyond traditional one-on-one appointments.

For example, if you teach a class with ten available spots but only one instructor, you can create ten providers and assign each one to a separate spot: Provider 1 represents Spot 1, Provider 2 represents Spot 2, and so on. This allows you to schedule ten appointments at the same time, effectively accommodating ten participants in a single class.

While this approach can work for smaller classes, Book Visit Now does not currently offer a dedicated class-booking interface. Managing and viewing numerous simultaneous appointments may be less convenient than using software designed specifically for group scheduling.

We are open to enhancing the calendar and adding more specialized class-management features as customer needs evolve.

What you give up

Book Visit Now does not replace Mindbody's full studio-management platform.

No online self-booking or consumer marketplace. Clients cannot book themselves through Book Visit Now, and the app will not introduce your business to new customers.

No integrated payments or deposits. Use a separate payment provider for card payments, deposits, and no-show charges.

No class scheduling or membership management. Book Visit Now is built around individual appointments, not class timetables, class packs, recurring membership billing, or ClassPass distribution.

No automated reminders or marketing campaigns. The Appointment Notification Center supports convenient manual communication through Messages and email, but does not send reminders automatically at scheduled intervals.

No separate staff logins, Android app, or browser-based access. Book Visit Now supports multiple providers and their schedules, but not individual staff accounts with separate permissions. It runs on iPhone, iPad, and Mac.

Stay with Mindbody if

  • You run classes, courses, or a studio timetable.
  • You sell memberships, class packs, or other recurring packages.
  • You rely on online self-booking, integrated payments, or automated client communications.
  • You attract meaningful new business through Mindbody's consumer app or ClassPass.
  • Your team needs individual accounts, role-based permissions, or Android and browser access.
  • You manage multiple locations and need centralized studio operations.

These are capabilities Book Visit Now does not replace. If they are essential to your business, switching may require additional services or a different operating process.

Switching from Mindbody

Read your agreement first. Confirm your subscription end date, renewal terms, cancellation notice requirements, and any charges that may apply. Request written clarification from Mindbody if your order form is unclear.

Export your records while your account is active. Obtain the client information, appointment history, membership and package balances, and financial records you need. Check the available export formats and whether any records require a separate request or paid assistance. Keep a secure copy before canceling.

If your clients are already in Apple Contacts, you can use those contacts when setting up Book Visit Now. Otherwise, import the relevant contact details from your export. Importing contacts does not automatically migrate your Mindbody appointment history, membership balances, treatment records, or financial data into Book Visit Now.

If you switch, tell your clients how to contact you for appointments. Book Visit Now's Appointment Notification Center makes it easy to send upcoming-appointment messages or emails manually without an additional messaging subscription.
