Vagaro offers scheduling, online booking, payments, and optional tools for managing other parts of a salon or wellness business. If you rely on those services together, keeping them in one platform can be useful.

But if you already attract your own clients and mainly need to manage appointments, client records, and everyday business activity, compare the features you use with the full cost of your subscription and add-ons.

What Vagaro costs

Vagaro charges a subscription for its scheduling platform. Additional fees may apply for extra bookable calendars and optional services such as digital forms, a website, a branded app, messaging credits, and payroll. Payment-processing fees are separate.

Its standard marketplace listing should not be confused with optional paid promotions. Vagaro's Fill My Books service can charge fees for qualifying bookings; check the current terms and attribution rules before enrolling.

Why businesses consider alternatives

• The total monthly bill. The starting subscription may not include every service your business uses. Compare your complete setup rather than the headline price alone.
• Optional promotional fees. Marketplace exposure may attract new customers, but paid promotional programs can introduce extra costs for qualifying bookings. Check how the program defines new and returning customers and how it treats bookings from your own links.
• Marketplace visibility. Customers can compare businesses, prices, reviews, and availability. That can help new customers discover you, but existing customers may also discover other providers while browsing.
• Access to your records. Before switching, confirm how to export your customer list and retain the appointment, sales, and other historical records you need. A contact export alone is not a complete transfer of your business history.

What Book Visit Now does differently

One subscription for all included features. Book Visit Now includes appointment scheduling, multiple providers, client management, treatment notes, client photos, service and product management, invoicing, business reporting, and a client map without separate feature subscriptions. Pro costs $24.99 a month and removes the active-client limit. The free plan includes the same features for up to ten active clients, with no time limit.

Scan intake forms directly into client profiles. Book Visit Now lets you scan completed paper intake forms using your Apple device and save the scanned documents directly in the customer’s profile alongside treatment notes and client photos. Document scanning is included without a separate Book Visit Now add-on or scanning subscription. It does not provide online forms that clients fill out and submit electronically.

Appointment notifications through Messages and email, at no additional app charge. Book Visit Now includes an Appointment Notification Center for reviewing upcoming appointments and contacting clients through your Apple device's Messages or Mail app. Notifications are sent manually, not automatically, so you decide when to send them. There are no additional Book Visit Now messaging subscriptions or message-credit packages; carrier or email-provider charges, if any, remain separate.

No marketplace commissions. Book Visit Now does not operate a consumer booking marketplace or charge you for acquiring or booking clients. Customers are not shown competing salons in a Book Visit Now marketplace.

Your client records remain accessible. Book Visit Now integrates with Apple Contacts, so you can use existing contacts and keep their contact information available outside the app. Clients created only in Book Visit Now are not necessarily stored in Apple Contacts. Appointment history and other business records are separate from Apple Contacts and are not automatically copied into Apple Calendar. The free plan continues to provide access to your records if you discontinue Pro.

What you give up

Book Visit Now does not offer online self-booking, integrated card payments or deposits, automated appointment reminders, a website builder, a branded client app, payroll, memberships, packages, or class booking. It does not provide online intake forms that clients complete and submit electronically, although you can scan completed paper intake forms directly into each customer’s profile. It also does not provide a dedicated inventory-management system.

Book Visit Now is designed for iPhone, iPad, and Mac; there is no Android app or browser-based version. You can manage multiple providers, but staff members do not have separate individual logins and permissions.

If your business depends on these services, you would need to keep Vagaro or obtain the missing capabilities elsewhere.

Stay with Vagaro if

• Your clients need to book and pay online, including deposits.
• You rely on automated reminders, marketing campaigns, or marketplace discovery.
• You need payroll, memberships, packages, class booking, digital intake forms, or a website and branded client app from the same provider.
• Your staff need separate accounts, Android access, or browser-based access.
• You want integrated payment processing and inventory workflows in the same platform.

Those are meaningful differences. Compare the services your business actually uses before deciding whether to switch.

Switching from Vagaro

Before canceling, obtain and save your customer export and any appointment, sales, service, product, or other historical records you need. Check the export's date range, filters, and record counts so you do not accidentally leave customers or transactions behind. Consult Vagaro's help center for current export instructions and permissions.

You can import compatible customer contact details into Apple Contacts and then use them when setting up Book Visit Now. Importing contacts does not automatically transfer Vagaro appointment history, treatment records, sales, memberships, or other business records into Book Visit Now. Keep your original exports for reference and tell your regular clients how to book with you directly going forward.

Once you are set up, the Book Visit Now Appointment Notification Center lets you send appointment notifications manually through Messages or email without buying a separate messaging add-on.
